How to Track Job Applications in One Place Instead of Spreadsheets

A job search falls apart in the middle, not at the start. You remember the first five applications. After twenty, you cannot say which company has your latest CV, which email you used, or whether “Interview” meant a recruiter screen or a panel next week.

Spreadsheets help until they do not. They do not store the CV you sent. They do not update when you apply from a Chrome extension. They do not open interview prep for that role. They are a list, not a workspace.

What you actually need to remember

For each application, keep at least:

  • Company and job title
  • How you applied (form, email, or a job you added yourself)
  • Date submitted
  • Current status
  • The CV and cover letter you used

Status should be boring and consistent: Submitted, Interview, Offered, Rejected, and any other stages you use. If every row has a unique label like “waiting on James,” you will not be able to scan the list later.

Why applications split across tools

Form applies live on LinkedIn or Greenhouse. Email applies live in Gmail. Jobs from a friend live in your notes app. That split is why people double-apply or ghost a process they meant to follow. The tracker has to accept every path, or you will keep a second list in your head.

How to use tracking every week

  3. When you get a rejection, mark it. Leaving it as Submitted makes the pipeline look healthier than it is.
  4. When you get an offer, mark it and keep the other active processes until you decide.

Follow-up is easier with a list

A tracker is also a reminder system. If a role has been in Submitted for two weeks and the posting is still live, you can decide whether a follow-up is worth it. If you cannot find the original email or form confirmation, you will skip the follow-up. That is how opportunities die quietly.

Job Openings and tracking together
